How we handle your data
Who is responsible
[Name and address of the data controller to be added before launch.] Contact for all privacy questions: support@thevillageworld.com.
What we collect and why
- Membership: name, email, phone, country, city, your Village, what you offer or need, what you write about yourself, who invited you, and what members who vouch for you write about how they know you. Needed to run your membership (contract).
- Vetting of helpers: the date of your interview, that two references were checked, and the type and date of the record check we saw. We never keep a copy of a certificate. Needed for the safety of children and people in care (legitimate interest, and where required, your consent).
- Posts, responses and agreements: what you post, your messages, and every agreement with the record of its acceptance (time and network address). Needed to run the club and to give both sides proof of what was agreed.
- Security: sign-in times and an activity log. Needed to protect members' accounts.
Who sees what
- Signed-in members see your name, Village, country, city, what you offer and your text, and who vouches for you with what they wrote.
- Gathering addresses are shown only to members who reply that they are coming.
- Your email and phone are shared only with the other party of an agreement you have both accepted, and with the club team.
- We use two service providers: Cloudflare (hosting and database, stored in the EU) and Resend (sending emails). Both act on our instructions under data processing agreements.
- We never sell your data and never use it for advertising. Our emails contain no tracking.
How long we keep it
- Sign-in links: 15 minutes. Sessions: 30 days.
- Your profile: while you are a member. You can delete it at any time in your profile.
- Signed agreements and their acceptance records: until the period for legal claims has passed (proposed: 3 years after the engagement ends), then deleted.
Your rights
You can ask to see, correct, export or delete your data, and object to how we use it, by writing to support@thevillageworld.com. You can also complain to the data protection authority in your country.
Automated decisions
No software decides who is admitted, matched, suspended or removed. A person makes every one of those decisions.
